Ordering electronics parts to Canada: delivery times, tracking, returns and import fees

Before you order parts online, it helps to know how long they'll take, how to track them and what happens if something arrives broken. This guide explains how ordering works at Polar Parts, in the same terms as our shipping policy and refund policy. If this guide and a policy page ever disagree, the policy page applies.

Where we ship from and to

We ship only to addresses in Canada, and prices are in Canadian dollars.

Most items ship directly from our supplier partners rather than from a Polar Parts warehouse, and most of those suppliers are outside Canada. That's the main reason delivery takes longer than from a local store, and why one order can arrive in more than one package.

How long delivery takes

Product pages show an estimated delivery window to Canadian addresses, in days, when one is available. The window varies from product to product, because items come from different suppliers and ship by different methods, so check it on every part you need. Where a page shows no window, the shipping timeline is confirmed during order processing.

These estimates are best-effort guidance, not guaranteed arrival dates. Carrier delays, border processing and address problems can all push a delivery past its estimate.

If you need parts by a certain date, order early and leave a margin beyond the estimate. For larger orders with a deadline, the bulk orders page has a needed-by field.

Shipping costs and taxes

Shipping charges and any applicable taxes are calculated at checkout from your delivery address, before you pay, so you can review the full order total before placing the order.

You sign in before checkout, so your order confirmation and order history are tied to your account.

Why an order can arrive in several packages

An order with items from different suppliers can arrive in separate packages. An order can also be split because of item availability, packaging requirements or where an item ships from. If part of an order arrives first, check your order page for the status of the rest.

Tracking your order

After checkout you receive an order confirmation email with a link to your order page. Tracking details are shared after the order is processed and shipped, when the carrier provides them. You can see every order and its status under Your orders in your account.

If tracking stops updating, a parcel shows as delivered but hasn't arrived, a parcel arrives damaged, or there's a problem with the address, contact us with your order number.

Import duties and border fees

Our shipping policy doesn't currently cover import duties, taxes collected at the border, or carrier handling fees, and we can't tell you in advance whether a particular parcel will be assessed.

In general, the Canada Border Services Agency (CBSA) decides whether duty and taxes apply to goods coming into Canada, not the seller. Canada Post's customs guidance says the CBSA doesn't assess duty or tax on mail items valued at CAN$20 or less, and that Canada Post charges a handling fee on items that are dutiable or taxable. Couriers set their own fees. These rules change, so check the CBSA and Canada Post pages for current details.

If you're asked to pay a fee when a parcel is delivered, or you'd like to ask about a specific order before you buy, contact us and include your order number if you have one.

If a part arrives damaged, wrong or missing

Check each package when it arrives. If a part is damaged, materially different from its listing, or missing from the package, email support within 14 days of delivery with your order email, your order number and clear photos of the item and its packaging.

An order can arrive in more than one package, so check your order page before reporting an item as missing. Support will confirm the next step, and you shouldn't send anything back until you've heard from us.

Returns

To request a return or refund, email support within 14 days of delivery. Include your order email and order number and, if a part arrived damaged, materially different from the listing or missing, clear photos of the item and the packaging.

  • Unopened, unused items in resalable condition can be returned within 14 days of delivery.
  • For change-of-mind or compatibility returns, you pay the return shipping and the original shipping charge isn't refunded.
  • Consumables, custom-cut items, custom or personalized orders, and opened kits or parts that show installation, soldering or other use are generally non-returnable, unless they arrived defective or materially different from the listing.
  • Don't mail anything back until support confirms the return instructions.

For electronics parts, the soldering exclusion matters most: once a part has been soldered or installed, it generally can't be returned for a change of mind. Check voltages, pinouts and dimensions before you solder.

How refunds are paid

Approved refunds go back to your original payment method after the return is received or the issue is otherwise verified. Depending on the payment provider, a refund can take several business days to appear on your statement.

If something goes wrong with an order, contact support before opening a payment dispute, so we can try to resolve it with you directly.

A checklist before you order

  • Check the delivery estimate on every product page, and leave a margin if you have a deadline.
  • Confirm voltages, connectors and dimensions against your project, since you pay return shipping on compatibility returns.
  • Double-check your delivery address at checkout.
  • Keep your order number for any question you send us.
  • Open parcels promptly, and report damaged, wrong or missing items within 14 days of delivery.
